Scheduling Director

Lead and coordinate scheduling for the AFL-CIO's three officers; coordinate with program department staff to ensure the officers' schedules support the strategic goals of the organization; and provide administrative support to the executive offices as needed.
Duties and Responsibilities
• Manage all invitations sent to the three executive officers;
• Coordinate responses to invitations and assist in travel arrangements;
• Lead scheduling meetings with officers' staff and relevant department representatives. Maintain schedule database for the executive officers and identify ways technology can advance the scheduling operation;
• Schedule, plan and coordinate all travel arrangements for the officers, including initiating trip calls and coordinating with relevant departments. Book travel arrangements and arrange all on-the-ground logistics for the President for both international and domestic travel. Assist with travel arrangements for the Secretary Treasurer and the Executive Vice President, as requested;
• Assemble and distribute appropriate trip-related materials (including background memos, talking points, speeches, etc.) in a timely way;
• Act as liaison for the executive officers with affiliates and other outside organizations on scheduling matters;
• Independently respond to correspondence regarding scheduling matters;
• Process expense reports for the President; assist with arrangements for the Secretary Treasurer and Executive Vice President, as requested;
• Interpret and apply organizational/departmental policies and protocols;
• Independently prepare reports and memos;
• Provide administrative support for the executive offices as required;
• Assist with department's role at Executive Council Meetings and Convention;
• Assist and aid with Executive Offices' communications;
• Special projects as assigned.
• Positive attitude and excellent communication and interpersonal skills;
• Extensive experience with scheduling and managing travel arrangements, including experience coordinating international travel;
• Professional, reliable, courteous and tactful;
• Experience working with elected leaders or in an Executive Office capacity;
• Knowledge of AFL-CIO and labor movement structures;
• Demonstrated ability to exercise good political judgment;
• Demonstrated ability to work well in a lead capacity or within a team;
• Demonstrated ability to work in high-pressure environment and meet unpredictable deadlines;
• Demonstrated ability to prioritize and manage multiple tasks;
• Demonstrated ability to exercise discretion and experience handling confidential information;
• Excellent proofreading skills;
• Excellent problem-solving skills;
• Highly motivated and a self-starter;
• Proficiency with Microsoft Office, including Excel, Access and Word, and proficient knowledge of email system;
• Ability to work overtime;
• Ability to travel.

Required tests include:
Spreadsheet (excel), Database (access), Clerical, Typing and Judgment
Hours 9:30 am to 5:30 pm
