Publications Production Coordinator

The Communications Department carries the voice of America's working families to union members, the media, leaders and the general public.

The Publications Production Coordinator will coordinate all aspects of print and product production for the AFL-CIO, and is responsible for quality and excellence, adherence to schedule and cost control for all production work. Materials produced range from reports and fliers to campaign and meeting support placards, stickers, signage and novelty products. The volume is heavy.

 The Publications Production Coordinator works under the supervision of the Director of Speech Writing and Publications.



• Coordinate nearly $1 million in printing and production work to ensure cost-effectiveness and quality, under the oversight of the Director of Speech Writing and Publications.
• Develop, implement and maintain a project tracking system.
• Set and coordinate production schedules.
• Develop specifications for all production jobs and secure bids from qualified producers.
• Manage a system of competitive bidding to maintain cost-effectiveness and quality standards in accordance with AFL-CIO standards, as well as adherence to schedule.
• Review all bids and recommend bid awards.
• Maintain knowledge of union printing industry, new technologies that present opportunities for the AFL-CIO and measures to increase cost-effectiveness.
• Work with outside design and print vendors to make sure all jobs meet or exceed high quality, schedule and cost expectations.
• Oversee the production purchase order and check request processes, ensuring that all necessary paperwork is completed to enable smooth schedules and prompt payment to vendors.
• Review all production invoices, ensure they match bids and troubleshoot any problems for Director of Speechwriting and Publications.
• Oversee cost record keeping and all records of production work.
• Expand the pool of graphic artists and other vendors available to the AFL-CIO.
• Check all blueline and other proofs.

Technical Skills:

• Ability to use Microsoft Office products including Access database and Excel spreadsheet programs.
• Ability to quickly become adept at custom software systems for tracking, check requests and other areas.
• Participate in meetings with department heads and their representatives and advise on production methods and creative approaches most appropriate to reach project goals.
• Maintain close professional association with printers, designers and specialty product producers.
• Work closely with administrative staff to coordinate the check request/processing system so vendors are paid promptly.
• Keeps the Director of Speechwriting and Publications fully informed on a regular basis on issues affecting all production work.
• Prepares and submits regular and ad hoc reports on departmental activities as required.
• Performs other duties as assigned.


• Minimum of five years of production-related experience.
• Demonstrated experience coordinating production vendors or subcontractors to ensure quality, schedule and cost expectations are met or exceeded.
• Demonstrated experience working with editorial staff on production planning.
• Demonstrated experience tracking and controlling expenses.
• Knowledge of print production process.
• Knowledge of the union movement.

• Ability to manage a high volume of work smoothly, being able to move multiple high-priority projects simultaneously.
