This position supports the Director and other staff as needed.

Duties and Responsibilities:

• Maintain a complex calendar and fast-paced schedule for the Director;
• Manage phone and emails for the Director and provide back-up phone and administrative support to the department as a whole;
• Coordinate travel and speaking engagement logistics for the Director;
• Work laterally with other AFL-CIO departments, including the Executive Offices of the AFL-CIO;
• Act as an effective liaison and represent the department and the Federation with AFL-CIO affiliates, affiliated organizations, think tanks, allies, government agencies and global labor partners;
• Assist with the coordination of personnel matters including but not limited to job descriptions, postings, technology needs, training, orientation, and file maintenance;
• Review incoming correspondence and materials; independently prepare responses to inquires and other correspondence; proofreading, reformatting and editing of correspondence and policy statements;
• Coordinate departmental support staff and workflow including resolution of questions and concerns as well as development of ongoing departmental policies and procedures;
• Independently coordinate departmental administrative matters;
• Lead and assist with coordination of visits from visitors;
• Negotiate and coordinate meetings and special events/projects;
• Utilize the internet as a basic research tool for information gathering;
• Develop, coordinate and assess departmental systems and operations, including but not limited to, record-keeping, internal and external communications, meetings, travel and expenses and other areas as assigned;
• Coordinate leave and attendance records; and
• Other duties as assigned.

Qualifications:

• Demonstrated ability to effectively work in high-pressure environment and meet unpredictable deadlines;
• Effective time management skills including the demonstrated ability to prioritize and manage multiple tasks;
• Ability/willingness to work with many people and juggle many projects;
• Excellent problem solving skills;
• Highly motivated and a self-starter;
• Demonstrated ability to work independently and to make independent decisions;
• Demonstrated ability to exercise good political judgment and discretion;
• Demonstrated positive attitude and excellent communication and interpersonal skills;
• Knowledge of public policy and the federal government, including Capitol Hill;
• Demonstrated strong writing skills related to correspondence;
• Demonstrated ability to manage workflow, to lead staff, to represent the department and to work well within a team;
• Demonstrated ability to compose e correspondence and draft non-routine letters;
• Demonstrated ability to interpret and apply organizational policies and procedures;
• Proficient knowledge of Microsoft Word, Excel; Power Point, Microsoft Access, internet applications and Outlook;
• Ability to work long and extended hours as needed; and
• Ability to travel to and assist with Executive Council Meetings and Conventions as needed.

*This is a temporary position not to exceed March 31, 2018. 

The following testing is required:
Clerical, Typing, Spreadsheet (Excel), Database (Access), Intermediate Excel (spreadsheet), Proofreading Practice and Judgment

Hours: 9:00 AM to 5:00 PM
