Administrative Assistant

This position provides administrative support to the Campaigns Department Planning and Operations Director or designee.

Duties and Responsibilities:

• Provide all administrative support for Campaigns Department Planning and Operations Director or designee;
• Schedule and coordinate all activities, travel and speaking engagements for Campaigns Department Planning and Operations Director or designee;
• Provide administrative support to staff as needed;
• Exercise political judgment with both internal and external contacts;
• Prepare routine reports and process expense statements, travel authorizations, and invoices;
• Work with supervisor to coordinate workflow;
• Screen, manage and prioritize visitors, calls and mail;
• Prepare and submit all travel expenses in a timely manner;
• Create/maintain filing system and maintain all project files;
• Assist with meeting/conference planning, scheduling and execution;
• Utilize the Internet as a basic research tool for information gathering;
• Independently respond to correspondence and prepare reports, memos, and spreadsheets;
• Review incoming correspondence and materials; prepare responses to inquiries and other routine correspondence;
• Compose, format and edit routine correspondence, memoranda, reports and other materials;
• Other duties as assigned.

• Knowledge or background in the labor movement preferred;
• Demonstrated ability to exercise good political judgment;
• Demonstrated ability to prioritize and manage multiple assignments;

• Experience with utilizing and navigating the Internet for information finding;
• Demonstrated ability to work well independently or as part of a team;
• Highly motivated and a self-starter;
• Demonstrated work performance as a self-starter and detail oriented;
• Excellent organizational skills;
• Demonstrated ability to work well in a high pressure environment;
• Demonstrated proficient knowledge of Windows XP, Microsoft Word, Microsoft Excel, Power Point, Microsoft Access, Microsoft Outlook, Webinars and large conference call technology.

Required Tests include:
Clerical, Typing, Spreadsheet (Excel) and Database (Access) and Judgment
Hours will be 9:30 a.m. – 5:00 p.m.
